Title: Request for Quotation (RFQ) - Conference Room Services for News Generation Against Hate Event in New York

Background
The project News Generation Against Hate engaged a group of local youth from La Courneuve to help them deconstruct stereotypes rooted in the lack of knowledge of diverse cultures and religions. Through workshops and capacity-building activities, participants acquired storytelling techniques and competencies to promote multiculturalism and interreligious understanding. Moreover, through the production of media content such as videos and radio podcasts, participants learn to recognize and address misinformation and discrimination in the media. Together they produced alternative narratives and multimedia content covering local and national issues related to multiculturalism and interreligious understanding.
The programme participants are invited to New York for three days to present the project outcomes to relevant United Nations entities and civil society organisations in New York City. UNAOC is responsible for organising a high-level event during one half day for the participants and relevant guests.
UNAOC is looking for conference room services for one half day in New York, NY, USA.
They will also need to be able to reach the UNHQs in New York on foot without using public transportation. UNAOC will invite to the event relevant United Nations General Assembly member states, senior UN officials from relevant UNHQs departments and UN agencies, whose offices and Permanent Missions are located in a very close vicinity to the UNHQs in New York. The event participants (youth, member states, UN officials and staff, other New York based organizations and officials) will be accommodated near the UNHQs or will work in the area of the UNHQ. In this context, having the conference room located next to the UNHQs in New York will be a great advantage and convenience to ensure high-level attendance and timely arrival of attendees.
Objective
UNOPS requires two clusters of services, namely a large sized conference room for approximately 80 people over one half day, to be determined based on availability on either the 4th, 5th or 6th of May 2022, and a mobile booth for interpretation services from French to English with interpretation headphones for 80 people.
The requirements are split into two lots:
- Lot 1: A large sized conference room with capacity of up to 80 people over one half day, to be determined based on availability on either the 4th, 5th or 6th of May 2022
- Lot 2: A mobile booth for spontaneous interpretation (English-French and French-English) with interpretation headphones for up to 80 people
Although there are 2 different lots, UNOPS preference is to contract one supplier for all lots, given lowest price for a most technically compliant bid. The lots will be contracted in a single contract:
- UNOPS has the rights to use the services of all lots, or only one of the lots.
- The exact number of participants and required services will be confirmed two (2) weeks before the event date
- Payment will be done based on the actual number of participants and hired services.
